Other matters
Investments / Savings
During 2023, the Company continued to invest £50 a month in the M&G Recovery and Growth Funds and £50 a month in the NatWest Business Reserve account.
Service /Maintenance Payments
Service charges remain at £105 per month if the flat is let and £90 per month for resident owners. The appropriate amounts have been received from each owner.
Buildings Insurance
The policy was renewed in October 2023 (the cover was from 1 July 2023), and a copy of the Certificate was circulated to all Directors. The sum insured is £3,411,423.
Reminder:
if your property will be unoccupied for more than 60 days, then the insurers must be informed.
Directors and Officers Liability Insurance
The policy was renewed in October 2023 (the cover was from 1 July 2023).
Health & Safety
Updated H&S policies are displayed in the hallway on the ground floor. Smoke alarms in the communal hall/stairway are checked quarterly, and batteries are replaced as required. A record of these checks is being maintained. Fire hydrants/apparatus continue to be checked/ serviced annually. The service undertaken in February 2023 revealed no defects with the current equipment.
GENERAL
Gardening
Piotr's hourly rate remains at £25 from £22 (still low, as other gardens charge £28-32 per hour).
Parking
Once again, please remind All Landlords to instruct their tenants NOT to block access to other tenant garages.
Garden / Recycling
General garden maintenance continues.
Windows
The flat windows continue to be cleaned externally every two months, and the communal hallway windows are cleaned internally and externally
31 GRM Ltd Board Resolutions
There were no new Resolutions added in 2023.
Significant AGM Decisions
" Director's Liability Insurance Policy for £100,000 is in place with an agreement NOT to purchase block terrorism insurance (AGM 5/3/2006). An email survey in November 2016 reconfirmed the Directors' decision NOT to buy block terrorism insurance. " Flat Sales: When a flat is sold, the vendor pays a charge to cover the company's professional fees. The Executive Committee Meeting on 26/10/2010 agreed to increase this charge to £300 for future sales. " It was agreed that landlords should NOT allow "For Sale or To Let" signs to be erected on the premises. " As per the Terms & Conditions of the Lease, the renting/subletting of individual garages is not allowed (i.e. not to assign, underlet or part with the possession of part only of the demised premises). AGM 6/3/2012. " Garage door replacement is the individual owner's responsibility (AGM 4/3/2007). " In 2015, Flats 2, 3, 4, 5, 7,
8, and 9 paid to have their garage roofs replaced. Each owner received an ASBESTOS safe disposal certificate for their records. Flats 1 and 6 chose not to replace their garage roofs. Accordingly, a Resolution was raised confirming that it was the responsibility of the owners of flats 1 and 6 to keep their respective garage roofs in good order, and replacement/repair was the responsibility of the individual owners. (AGM 29/03/2016)
Significant Dates
The freehold was acquired in 1994 and shown in the Accounts at the original cost of £9517 with additions of £2115.
A new roof was installed in 2006 and has a 20-year Guarantee. A roof survey/inspection was undertaken in September 2016,and it requires no maintenance.
Cavity Wall insulation was installed in July 2009, and the individual flat owners hold 25-year Warranty Certificates.
White Liquid Plastic - Decothane Gamma 20 - was applied to the white panelling under the windows in August 2004 and is guaranteed for 20 years. Note these panels are low-grade asbestos and should not be disturbed.
