  • 1. Accounting policies

    Basis of measurement and preparation

    These financial statements have been prepared in accordance with the provisions of Section 1A (Small Entities) of Financial Reporting Standard 102

    Tangible fixed assets depreciation policy

    All fixed assets are initially recorded at cost. Property, plant and equipment is used in the company's principal activity for the production and supply of goods or for administrative purposes and is stated in the balance sheet under the historic cost model. This model requires the assets to be stated at cost less amounts in respect of depreciation and less any accumulated impairment losses. Depreciation is calculated so as to write off the cost of an asset, less its estimated residual value (which is the expected amount that would currently be obtained from disposal of an asset, after deducting the estimated costs of disposal, if the asset were already of the age and in the condition expected at the end of its useful life), over the useful economic life of the respective asset as follows: Office Equipment - 3 years straight line basis

Company activities and impact

Educafe provides an integral link for individuals to connect with the wider community of West Berkshire. We bring people together through community cafes, conversation, education, and wellbeing activities. The cafe continues to be a weekly central hub where people meet, eat, make new friends, and learn about community support available to themselves and their families. Educafe is a recognised and valued asset for the whole community and a lifeline for many. It has delivered impacts that address a range of local needs including mental health, wellbeing, early years, reducing loneliness and isolation as well as improving cohesion and inclusion for a cross-section of residents including those with protected characteristics. Our Priorities - To promote social inclusion by offering FREE, open-access, drop-in activities for all. - To provide a variety of person-centred activities to engage and empower individuals to feel and become part of the community including free English language support, volunteer opportunities and parenting support. - To level-up health inequalities by working with other service providers to promote health and wellbeing. - To build a stronger community through innovative, low-cost and sustainable operations that local residents can rely on to support their social health. Activities have continued to gather momentum to reach our target audience and exceed our Key Performance Indicators (KPIs) throughout our three-year West Berkshire Council (WBC) Diverse Ethnic Communities Support Agency (DECSA) commissions and other community funded projects. Key Highlights - Community Cafe: We continue to welcome 150 visitors to our flagship event at Newbury Library every Wednesday between 11am and 2pm. Visitors benefit from; Befriending Service, Free refreshments, Arts and Crafts, Knit and Natter, English conversation practice - Chatty Corner, Signposting to local service providers, Parents’ Village (not commissioned as part of DECSA), Social Media: Our social media posts in local groups regularly reach 50k+ people. We have 1.5k+ Facebook followers and £1k+ followers on Instagram. - Website: Our website has been kept up to date consistently and reflects our key activities, vision and values: www.educafeuk.co.uk - In addition to the Cafe: Educafe is project driven and further reaching than the DECSA commission. Our current projects are not funded through the DECSA commission, but they do represent the important role of Educafe as an expert education, knowledge exchange and information provider within West Berkshire; Formal ESOL/English courses for non-native speakers, Teen wellbeing courses, Educafe Welcomes Hong Kongers project, Seated exercise classes, Parents Village & Marketplace (500 families sharing events and WhatsApp groups), and Post natal workshops - Volunteering: We continue to be supported by an ever-growing army of volunteers, particularly in the Chatty Corner but also behind the scenes through digital marketing, consultancy and strategic advice. We estimate the annual volunteer time at a very conservative 3,000+ hours per year. This amounts to (at a very minimum) £45,000+ savings in wages and £50,000+ value of language support. - Who’s Who Meetings: These meetings continue to be popular and begin each week at 10.45am before the cafe opens at 11am. The meetings are for all volunteers and service providers where we share Educafe updates and community information. It is a simple but powerful way to exchange knowledge so this can be shared with visitors. - Educafe Newsflash WhatsApp Group: This WhatsApp group is used by visitors, volunteers and partners to find out what is happening at Educafe each week, share photos and ask questions. It has proved to be an effective communication mechanism. - Partnerships: We have continued to work closely with Newbury Library. We supported the library to successfully become a Library of Sanctuary and we partnered with them to celebrate the Coronation of King Charles III with an afternoon tea party which was attended by the Chairman of West Berkshire Council and the Mayor of Newbury. Funding Our three-year West Berkshire DECSA Commission ends on the 31st of March 2024. WBC will not be renewing or extending the DECSA commission, and it is our understanding that this local Equality Diversity and Inclusion (EDI) provision or support has ceased to exist. This lack of investment is extremely disappointing for our community. Educafe has had to explore new ways of working to generate income to meet the needs of our community. The Future for Educafe – Beyond the DECSA Commission We now estimate that since 2021, Educafe has touched the lives of thousands of West Berkshire residents directly and many more indirectly. We welcome between 100-150 regular and new visitors each week from all walks of life, ranging in age from 6 weeks old to 95. We see new visitors every week and observe an increased need, particularly in language and resettlement support for new arrivals, long-term health conditions, early years and those impacted by the Cost-of-Living Crisis. As an organisation, we have learnt to respond and adapt to these needs through the projects we are developing. New Initiatives - Friends of Educafe: This membership initiative invites individuals, organisations, and teams to register with Educafe and to make a minimum suggested donation to support our work. Free membership is offered for contributions in kind. In return ‘Friends of Educafe’ benefit from a range of digital and face-to-face outreach opportunities. - Bake a Difference: A community baking rota where local catering organisations contribute baked goods to Educafe on a regular basis. In return, they benefit from opportunities to promote their work and support important work in their local community. - Wellbeing Partners: We are due to apply a similar approach to our wellbeing offerings by inviting local specialists to join our wellbeing schedule. This will ensure our seated wellbeing can continue without the ongoing need to apply for project funding. Plugging the Gaps and Continued Collaboration with WBC As local community need continues to increase, we find ourselves welcoming more new visitors each week. We now realise that our services plug gaps in local provision for example though NHS health checks, post-natal care, social care, mental health support as well as a lifeline for our diverse ethnic communities that we were originally commissioned to support. The offer from Newbury Library to continue hosting our weekly cafe after March is appreciated and means that Educafe has a stable home within the community. Newbury Library automatically becomes a ‘Friend of Educafe’ and we will continue to work with them to promote their services. In the same way WBC Adult Community Learning (ACL) will be invited to join ‘Friends of Educafe’ because they support our language courses. Over the last three years Educafe has supported a variety of WBC teams and staff to engage with local audiences. This has been evidenced in our impact statements and commission reports. Without substantial funding, Educafe CIC cannot provide a free engagement platform for local organisations and services. The level of resource required to support both face-to-face and digital outreach is not sustainable without income generation or funding. Without WBC financial contributions, we won’t be able to continue to promote local services or plug gaps in service provisions for our communities in West Berkshire. Specific Projects Delivered 2023 - Educafe Journey 2023: Educafe embarked on a strategic journey in 2023 aimed at expanding and strengthening community connections while enhancing organisational operations. The primary focus was on improving back-office functionalities, allowing for strategic growth, and fostering community engagement. Efforts were made to maintain existing infrastructure and develop new programs tailored to the evolving needs of West Berkshire residents. - Educafe and West Berkshire Council Adult Community Learning: We achieved everything we set out to do, but not without huge administrative frustrations. A new venue was required to work directly with the Afghan Community in Calcot. The learner cohorts changed frequently and learners required single sex cohorts, new dates, times and levels of groups. We did our best to accommodate requests at all times. It is a credit to the teacher and our Admin Manager that we were able to do this and say a big thank you to West Berkshire Council ACL team who supported us during these processes. - The Educafe Project: Funded by the GBA Together Fund for phases 4 and 5 (April-August 2023); this project successfully coordinated and delivered various community support activities including: 15 weekly Parent Village sessions at Newbury Library for mums and babies/toddlers, attracting approximately 1,200 attendance. 19 chair yoga sessions, attended by 6-18 participants per session, offered gentle movement and relaxation, and an 8-week "New Year, Healthy Habits" wellbeing program with diverse fitness and wellness activities. Conclusion Educafe has become a vital resource for the West Berkshire community. We are committed to providing a welcoming and supportive environment for all, and we are working hard to ensure that we can continue to offer our services in the years to come. We are grateful for the support of our volunteers, partners and funders, and we look forward to continuing to work together to build a stronger and more inclusive community.

Consultation with stakeholders

Our Governing Board meets regularly to discuss and agree strategic, governance and finance decisions. It consists of volunteers and part-time staff who manage our operations. Regular feedback and consultation with our visitors takes place through face-to-face, weekly conversations, surveys and interaction on social media. We regularly consult key local stakeholders and service providers who we work in partnership with and refer our visitors to (eg, Newbury Library, VCWB, WBC etc) and take part in various programme planning and delivery forums.

Directors' remuneration

The total amount paid or receivable by directors in respect of qualifying services was £92,423. There were no other transactions or arrangements in connection with the remuneration of directors, or compensation for director’s loss of office, which require to be disclosed.
