ACHIEVEMENTS AND PERFORMANCE
Charitable activities
Name change
We are pleased to share we changed our name in September 2025 to Derby Scrapstore (previously Play and Recycling Centre) as this better reflects what we are about, allows us to be more accurately categorised online, and helps avoid the confusion with "recycling" as the meaning of the word has very much changed in the decades since it was used in the charity name. This change has been received with warmth and positivity from our members and volunteers and has contributed to our increased profile online and in the local community.
Operational
Derby Scrapstore was proud to achieve in October 2025 a year of being completely run by volunteers (including its trustees who are all volunteers). The volunteer team have managed the services and resources offered to members and the public. We have repurposed thousands of resources destined for landfill by industry, retail and domestic alike. These were offered throughout the Scrapstore and shop offering quality, low-priced repurposed resources to the public. Our volunteers assist in preparing these resources, support visitors to the charity, and contribute in other roles in the Craft store, Scrapstore and RePaint scheme. These include roles such as meet and greet for all customers at the reception, supporting customers to help them find resources which organically creates discussion around creative plans which our volunteers engage with and support. Our volunteer programme includes people with additional needs, and we support them to develop skills, confidence and independence through their involvement in our activities.
We also have a group of talented volunteers who use their skills to offer workshops in a variety of crafts such as bag making, drawing, painting, Air-Dry clay sculpture, pebble painting, felting, badge making crochet, Indian block printing on bags, and jewellery upcycling into pictures. Feedback from participants has been extremely positive and suggestions for new workshops will be incorporated into next year's programme. We have encouraged volunteers to extend their skill sets and have given them opportunities to show-case things they have made in the craft shop area.
Communication with the public has been facilitated through a regular programme of posts on social media including Facebook, Instagram and TikTok. We have seen increased footfall, website traffic, social media engagement and membership. We use our newly strengthened and broader social media presence to share details on our workshops, creative inspiration shared with us by members using Scrapstore resources, a wide range of discounts on specific items, and information about the charity and what we do, and how people can get involved. Existing members have also encouraged people they know to become members.
Membership stands at 1120 at the end of this fiscal year.
During the year we have redistributed 1785 litres of paint, destined for landfill sites, into home projects and community building. This figure is lower than the previous year due to the paint reclaim centre selling its reclaimed paint directly to end users, plus cheap retail options for paint in supermarkets like Tesco.
As previously shared maintenance and upkeep of our building continues to be monitored due to the age & condition. We were successfully awarded a grant from The Tom Carey Fund of Foundation Derbyshire in December 2025 which will be used to replace entry and exit doors in the build which are old and a security concern, plus add heating to 2 large spaces on the first floor of the building used by volunteers where there is currently no direct heating system without using expensive plug-in heaters.
Funding
Self-generated income has continued to feature as a focus for the charity and continues to be essential this year due to the continued increased price of utilities and insurances. Daily takings saw a steady rise during the year mainly attributable to our much-expanded social media presence, almost every new customer comments they found us having seen us on social media. We received funding from the Foyle Foundation (£4,000), which was put towards the expensive utility bills, Platform Housing awarded a small general grant which we saved and used towards our Christmas event to celebrate and thank volunteers. Foundation Derbyshire also awarded us a Volunteer Fund which was to purchase warm wear for our volunteers, as the large old building does still get cold during the winter months even with new updated heating systems. This grant also supported the reimbursement of expenses for volunteers that want to support us and incur costs to do so. A small grant from DCC Neighbourhood board which was also put towards utility bills.

FINANCIAL REVIEW
Reserves policy
The trustees' reserves policy is reviewed annually by the board as part of the year-end financial review, or sooner if there is a material change in the charity's income, expenditure, or risk profile.
Reserves are defined as unrestricted general funds, excluding restricted funds, designated funds, and the net book value of fixed assets (principally the charity's freehold building, which the trustees do not intend to sell, and which is therefore not available to meet running costs).
The trustees review the charity's reserves policy annually as part of the year-end financial review. The policy aims to maintain sufficient unrestricted funds to enable the charity to continue operating in the event of unexpected financial pressures or a reduction in income.
The trustees' target for reserves comprises an operating buffer of £15,000, representing approximately nine months of core running costs, together with a contingency of £6,000-£8,000 for significant unplanned repairs to the charity's freehold building and vehicle. The overall target for reserves is therefore £21,000-£23,000.
At 31 March 2026, the charity had unrestricted funds of £164,673. After excluding the net book value of fixed assets of £108,500 and designated funds of £30,000, the trustees consider that £25,173 was available as general reserves for the purposes of the reserves policy.
This level is slightly above the trustees' target range of £21,000-£23,000 and is considered appropriate given the charity's reliance on variable grant and trading income, together with the potential for significant unplanned building and vehicle repairs. The charity has no paid staff, which also means that a significant proportion of discretionary expenditure can be reduced relatively quickly if required.
Designated funds of £30,000 have been set aside towards the future replacement of the charity's vehicle. These funds are shown separately in the Statement of Funds and are not included in general reserves for the purposes of the reserves policy.
The trustees will continue to monitor the level of reserves and, where reserves fall below or exceed the target range, will consider appropriate action in accordance with the reserves policy.
FUTURE PLANS
In response to financial pressures with huge utility cost rises continuing into 2025-6 Trustees continued to work the plan outlined in our previous report focusing 4 key areas of leadership and management, finance, premises and service to the community reflect several of the strategies and actions being employed to increase revenue and reduce costs for the charity to remain viable.
Trustees continue to control all direct day to day activities and have made significant progress in identifying areas for further cost control, process improvements, efficiency, new endeavours, projects and key changes that will strengthen the charity brand, reputation, meaning and understanding in the communities both local and further afield.
Volunteer recruitment continues as a routine activity as we are working ideas and initiatives that will require wider versatility, flexibility and strength of skills and knowledge.
STRUCTURE, GOVERNANCE AND MANAGEMENT
Governing document
The charity is controlled by its governing document, a deed of trust, and constitutes a limited company, limited by guarantee, as defined by the Companies Act 2006.
Trustee selection methods
A skills audit has been undertaken to discover those skills which are required by the trustee body. Efforts are made to recruit trustees who meet the skill requirement.
Risk management policy
The trustees examine the major risks that the charity faces each financial year when preparing and updating the strategic plan. The charity has developed systems to monitor and control these risks to mitigate any impact that they may have on the charity in the future.

Notes to the Financial Statements
for the Year Ended 31 March 2026
| 1. | COMPANY INFORMATION |
Derby Scrapstore Ltd is a company limited by guarantee not having a share capital. The company's registered office is, 6-10 Werburgh Street, Derby, DE22 3QG. At the end of the year there were 3 Trustees, each of whom, under the terms of the Memorandum and Articles of Association, had undertaken to contribute the sum not exceeding £1 in the event of a winding up of the company.
| 2. | ACCOUNTING POLICIES |
Basis of preparing the financial statements
The financial statements of the charitable company, which is a public benefit entity under FRS 102, have been prepared in accordance with the Charities SORP (FRS 102) 'Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2019)', Financial Reporting Standard 102 'The Financial Reporting Standard applicable in the UK and Republic of Ireland' and the Companies Act 2006. The financial statements have been prepared under the historical cost convention.
Apart from freehold property that is carried at market value. The principal accounting policies adopted are set out below.
Income
All income is recognised in the Statement of Financial Activities once the charity has entitlement to the funds, it is probable that the income will be received and the amount can be measured reliably.Gifts in kind have been included at market value of gifts received and in assets acquired. No amounts are included in the financial statements for services donated by volunteers.
Expenditure
Liabilities are recognised as expenditure as soon as there is a legal or constructive obligation committing the charity to that expenditure, it is probable that a transfer of economic benefits will be required in settlement and the amount of the obligation can be measured reliably. Expenditure is accounted for on an accruals basis and has been classified under headings that aggregate all cost related to the category. Where costs cannot be directly attributed to particular headings they have been allocated to activities on a basis consistent with the use of resources. Fund-raising costs are those incurred in seeking voluntary contributions and do not include the costs of disseminating information in the support of the charitable activities.
Tangible fixed assets
Depreciation is provided at the following annual rates in order to write off each asset over its estimated useful life.
| Freehold property | - |
| Improvements to property | - |
| Motor vehicles | - |
Taxation
The charity is exempt from corporation tax on its charitable activities.
Fund accounting
Unrestricted funds can be used in accordance with the charitable objectives at the discretion of the trustees.
Restricted funds can only be used for particular restricted purposes within the objects of the charity. Restrictions arise when specified by the donor or when funds are raised for particular restricted purposes.
Further explanation of the nature and purpose of each fund is included in the notes to the financial statements.
Going concern
At the time of approving the accounts, the directors have a reasonable expectation that the charity has adequate resources to continue in operational existence for the foreseeable future. Thus the Trustees continue to adopt the going concern basis of accounting in preparing the accounts.
Debtors
Trade and other debtors are recognised at the settlement amount due after any trade discounts offered. Prepayments are valued at the amount prepaid net of any trade discounts due.
Derby Scrapstore Ltd
Notes to the Financial Statements - continued
for the Year Ended 31 March 2026
| 2. | ACCOUNTING POLICIES - continued |
Cash and cash equivalents
Cash and cash equivalents include cash in hand, deposits held at call with banks, other short-term liquid investments with original maturities of three months or less, and bank overdrafts. Bank overdrafts are shown within borrowings in current liabilities.
Creditors and provisions
Creditors and provisions are recognised where the charity has a present obligation resulting from a past event that will probably result in the transfer of funds to a third party and the amount due to settle the obligation cn be measured or estimated reliably. Creditors and provisions are normally recognised at their settlement amount after allowing for any trade discounts due.
Financial instruments
The charity has financial assets and financial liabilities of a kind that qualify as basic financial instruments. Basic financial instruments are initially recognised at transaction value and subsequently measured at their settlement value.

Critical accounting estimates and judgements
In the application of the charity's accounting policies, the directors are required to make judgements, estimates and assumptions about the carrying amount of assets and liabilities that are not readily apparent from other sources. The estimated and associated assumptions are based on historical experience and other factors that are considered to be relevant. Actual results may differ from these estimates.
