TRUSTEES' REPORT
FOR THE YEAR ENDED 31 MARCH 2026
The trustees present their annual report and financial statements for the year ended 31 March 2026.
Trustee's report and financial statements
The trustees who are also directors of the charity for the purposes of the Companies Act 2006, present their report with the financial statements of the charity for the year ended 31 March 2026. The trustees have adopted the provisions of Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2019).
OBJECTIVES AND ACTIVITIES
The objects of the organisation are to provide a village hall for use of the inhabitants of the parish of Wales and the surrounding area in the county of South Yorkshire without distinction of political, religious, or other opinions including use for meetings, lectures, classes and for other forms of recreation and leisure time occupation with the object of improving the conditions of life of said inhabitants.
ACHIEVEMENT AND PERFORMANCE
Charitable and Fundraising activities
Charities are no exception to the difficulties created by the continued increase in the cost-of-living and our cost of services continues to rise. The situation with utilities shows how difficult it has been. After extensive issues with the current energy supplier, it is hoped that the Ombudsman can resolve the dispute which has plagued us over the last two-half years and we look forward to new a supplier in the new financial year.
Our income from the Lamp and Pony, both Rent and Gift Aid, for the 6th year running, has hit us the most. We will be looking next year to find a solution to the leasing of the Lamp & Pony.
Classes continue to be hit by reduced numbers and the cost of living. Consequently, we have lost a number of classes. We have endeavoured to attract new ones but this has proved difficult in the current economic climate.
In line with our principles, we like to keep a balance of classes, with fitness, wellbeing and social activities for all ages especially children, whilst making sure we have sufficient time and space for parties and social activities for the community.
We are pleased to report on the success of “Tech & Tea”, a free drop-in service to all in the community, giving professional advice and support for all technical needs, mobile phones, computers, lap-tops and tablets but to name a few. This has been well received and continues to be used.
Major clean water works by Yorkshire Water in the community have been underway and will continue into next year, we have supported the contractor and the project by making our car park available for storage of materials to speed up the work and minimise disruption to the community.
Christmas this year was a very well attended event with Father Christmas and his Grotto the centre piece of the Light Switch On event and again, the well-attended Christmas family party with Flave Fun Parties.
Fundraising activities
We have continued to support the local community group, card sales for local Methodist church to help support their” Soup & Song” events. Yorkshire Air Ambulance,
Parent Teachers Association events, local primary schools and presentation nights for sports teams in and around our community. Not forgetting our animal friend, TAK, Dog first Aid.
Yet again another successful year for support of Macmillan Cancer and Art Exhibition.
We continue to raise money from our book sales to provide events for families over Easter, Halloween and Christmas, which have now become a firm favourite.
We are extremely conscious of the economic impact on the community and endeavour to keep our events and hire costs affordable.
We continue to seek new blood into the charity in the form of Trustees and Volunteers, the latter we have been successful, however Trustees prove to be more difficult to attract as younger members of the community have extremely busy lives and the age demographic continues to point to retired members of the community.
FINANCIAL REVIEW
Financial position
The results for the period are set out in the Statement of Financial Activities.
Income from charitable activities (room hire) of £31,874 was broadly in line with 2024/25 - £31,575.
Other trading activities represent income from fund raising event, gaming machine takings and raffle/other ticket sales. The £1,777 decrease from 2024/5 is mainly due to a reduction in the gaming machine takings.
Investment income is bank interest, rent from the Lamp & Pony and rent from hire of a room to a Physio. Income of £10,573 was lower than 2024/25 (£18,677) due to only 7 months rent being received from the Lamp & Pony.
Total costs excluding depreciation of £61,820 are £8,261 (12%) lower than than 2024/25 - £70,081 due to a lower bad debt provision against amounts due from the Lamp & Pony (£9,025 in 2025/26 compared with £14,925 in 2024/25) and lower expenditure on repairs and maintenance.
Depreciation of £21,997 represents the writing down of the land and buildings and plant and machinery over time. The £21,997 charge was the same as in 2024-25.
Overall, excluding depreciation, expenditure of £61,820 was £5,009 (2024/25 - £8,074) less than income. This helped to increase cash reserves by by £5,364.
Principal funding sources
The main sources of funding are the hire of facilities at the hall for regular private functions, community group classes, fund raising events, and donations received from The Lamp and Pony bar. There are no outstanding funding applications at the present time.
Investment policy and objectives
The Village Hall is a very young company and is not yet at the stage of having funds to invest.
Reserves policy
The Management Committee is aware, and has a policy, that unrestricted funds held by the charity and not committed or invested in tangible fixed assets should be between 3 and 6 months of expenditure.
STRUCTURE, GOVERNANCE AND MANAGEMENT
 Governing document
The charity is controlled by its governing document, a deed of trust, and constitutes a limited company, limited by guarantee, as defined by the Companies Act 2006.
Recruitment and appointment of new trustees
The directors of the company are also charity trustees for the purposes of charity law. The Articles require a minimum of five and a maximum of nine trustees. Any vacant positions may be filled by co-option throughout the year. One quarter of the trustees must retire at each AGM, the longest serving to retire first, and may offer themselves for re-election if qualified. A retiring trustee may offer themselves for re-election for a maximum of two consecutive terms.
Organisational structure
The Village Hall has a Management Committee of up to 9 trustees who meet monthly and are responsible for the strategic direction and policy of the charity. At present the committee has 5 trustees as itemised under Company Information above. The Management Committee is responsible for all decision making and direction of the business.
The Chairperson has overall control on all the final decisions after liaising with, and agreement from, all trustees. The Chairperson will use their authority on any issues that are unable to be agreed upon.
There are currently 2 part time employees working at the village hall. All work in the area of support services.
Induction and training of new trustees
New Trustees are invited to attend a short induction training session following their appointment. This is usually led by
the Chair. Trustees are given an induction pack to include:
- The operational framework for the Company
- A copy of the Memorandum and Articles of Association
- The Charity Commission's publication - 'The Essential Trustee'
- The latest published accounts
- A skills checklist in order to identify what skills they can bring to the organisation.
- The Trustees Code of Conduct
In addition trustees are encouraged to attend any appropriate training identified throughout the year.
Trustees are made aware on appointment that if the Village Hall gets in financial difficulties then their financial liability is limited to £10.
Risk management
The Management Committee is responsible for risk management issues. Risks are reviewed and policies put in place to minimise risks in all areas.
Trustees
The trustees, who are also the directors for the purpose of company law, and who served during the year and up to the date of signature of the financial statements were:
Mr John Holden
Mrs Helen Carline (Vice Chair)
Mrs Helen Phoenix (Treasurer)

Trustee's responsibilities statement
The trustees, who are also the directors of Charity For Kiveton Park And Wales Village Hall for the purpose of company law, are responsible for preparing the Trustees' Report and the financial statements in accordance with applicable law and United Kingdom Accounting Standards (United Kingdom Generally Accepted Accounting Practice).
Company Law requires the trustees to prepare financial statements for each financial year which give a true and fair view of the state of affairs of the charity and of the incoming resources and application of resources, including the income and expenditure, of the charitable company for that year.
In preparing these financial statements, the trustees are required to:
  • select suitable accounting policies and then apply them consistently;
  • observe the methods and principles in the Charities SORP;
  • make judgements and estimates that are reasonable and prudent;
  • state whether applicable UK Accounting Standards have been followed, subject to any material departures disclosed and explained in the financial statements; and
  • prepare the financial statements on the going concern basis unless it is inappropriate to presume that the charity will continue in operation.
The trustees are responsible for keeping adequate accounting records that disclose with reasonable accuracy at any time the financial position of the charity and enable them to ensure that the financial statements comply with the Companies Act 2006. They are also responsible for safeguarding the assets of the charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.

KIVETON PARK AND WALES VILLAGE HALL

NOTES TO THE FINANCIAL STATEMENTS
FOR THE YEAR ENDED 31 MARCH 2026
Kiveton Park and Wales Village Hall is a Charitable Company (Limited by Guarantee) registered with the Charity Commission for England and Wales. The registered office is Walesmoor Avenue, Kiveton Park, Sheffield, S26 5RF.

1. Accounting Policies

The principal accounting policies adopted by the Charity, which is a public benefit entity, in the preparation of the accounts are as follows.

1.1 Basis of preparation

These accounts have been prepared under the historical cost convention, as modified by the inclusion of charitable properties and fixed asset investments and investment properties at valuation.

These accounts have been prepared in accordance with “Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102)” (effective 1 January 2019) - (Charities SORP (FRS 102)), the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) and the Charities Act 2011.

These accounts are presented in pounds sterling and rounded to the nearest pound.

1.2 Going concern

The Trustees have prepared financial projections, taking into consideration the current economic conditions and have, at the time of approving these accounts, a reasonable expectation that the charity has adequate resources to continue in operational existence for the foreseeable future. Thus they continue to adopt the going concern basis of accounting in preparing the accounts.

1.3 Income from donations or grants

Income from donations and grants is recognised when the charity is entitled to the funds, the receipt is probable and the amount can be measured reliably. For donations, this is usually on receipt. For grants, this is usually when a formal o'er is made in writing. If a donation or grant contains terms and conditions outside of the charity’s control which must be met before the charity is entitled to the funds, or if the donor specifies that the funds must be used in future time periods, then the income is deferred.

1.4 Income from charitable activities

Income from charitable activities is recognised over the period to which the income relates. Concert fees are recognised at the date of the event. Membership fees are recognised over the period of the membership. Rent is recognised over the period to which it relates. Any amounts relating to future periods are deferred.

1.5 Expenditure

Expenditure is recognised when a present legal or constructive obligation exists at the balance sheet date as a result of a past event, it is probable that a transfer of economic benefits will be required to settle the obligation, and the amount can be estimated reliably. It is inclusive of VAT which cannot be recovered.

Direct costs are those costs which directly attribute to its activities. Wages and salaries are allocated to direct costs based on an estimate of time spent on charitable activities by staff members.

Support costs include staff costs and are those which do not produce a direct output. Staff costs relate to specific activities and this is reflected in the allocation of payroll costs based on the percentage of time spent.

All costs, including governance costs, are allocated between the expenditure categories of the charity on a basis designed to reflect the use of the resource. Costs relating to a particular activity are charged directly; others are apportioned on an appropriate basis.

Support costs and overheads have been calculated by allocating staff time to the level of involvement in the various activities of the Charity.

1.6 Pensions

The Charity makes contributions to defined contribution pension schemes through auto enrolment. These contributions are charged to the income and expenditure account in the year in which they become payable.

1.7 Taxation

The organisation is a registered charity and has no liability to income tax or corporation tax on its charitable activities during the year.

Value added tax is accounted for on an accruals basis.

1.8 Fund accounting

Unrestricted funds are those funds which are available for use at the discretion of the Trustees in furtherance of the general objectives of the charity and which have not been designated for other purposes.

Restricted funds are funds which are to be used in accordance with specific restrictions imposed by donors or which have been raised by the charity for particular purposes.

1.9 Critical accounting estimates and judgements

In the application of the charity’s accounting policies, the Trustees are required to make judgements, estimates and assumptions about the carrying amount of assets and liabilities that are not readily apparent from other sources. The estimates and associated assumptions are based on historical experience and other factors that are considered to be relevant. Actual results may differ from these estimates.

The estimates and underlying assumptions are reviewed on an ongoing basis. Revisions to accounting estimates are recognised in the period in which the estimate is revised, if the revision affects only that period, or in the period of the revision and future periods if the revision affects both current and future periods.

There are no estimates and assumptions which have a significant risk of causing a material adjustment to the carrying amount of assets and liabilities.

1.10 Tangible fixed assets

Tangible fixed assets, such as land and buildings, plant, vehicles and equipment, are held to provide an on-going economic benefit to a charity through their contribution, directly or indirectly, to the provision of goods or services by the charity.
Tangible fixed assets, other than freehold land, are stated at cost or valuation less depreciation and any provision for impairment. Depreciation is provided at rates calculated to write off the cost or valuation of fixed assets, less their estimated residual value, over their expected useful lives on the following basis:
Asset category Rate (%) Method
Freehold property 2% Flat rate
Plant and machinery 10% Flat rate
Fixtures and fittings 10% Flat rate

The land and buildings, which are stated at cost, represent the village hall in the Parish of Wales. No valuation of this has been carried out. However, as this is a public building, the market value on an existing use basis maybe lower than cost. No adjustment has been made to reflect this. The buildings were part funded by a grant from the Wales Parish Council who hold a debenture over all of the fixed assets of the village hall.
